What We Do Our team helps ensure important real estate documents are processed accurately and on time. We work with internal and external customers to research property information, prepare and review documents, resolve issues, and submit documents to county offices for recording. As an Associate Order Processor II, you'll manage documents and customer requests from start to finish. You'll research information online, review documents for accuracy, communicate with customers and county offices, and track your work through completion. This is a great opportunity for someone with experience in customer service, banking, insurance, administrative support, document processing, records management, or another detail-oriented environment who enjoys research, organization, and problem-solving.What You'll Do
- Process and manage customer orders and documents accurately and efficiently.
- Maintain ownership of assigned orders and track them from initial receipt through completion.
- Research property records and other information using county recorder websites and online resources.
- Prepare and review documents for submission to county recording offices.
- Submit documents for recording electronically or by mail and monitor their status through completion.
- Review documents and orders for accuracy, completeness, and recording requirements.
- Identify and research discrepancies involving documents such as lien releases, deeds, judgments, payoffs, and subordinations.
- Communicate with internal and external customers by phone and email to answer questions, provide updates, and resolve issues.
- Follow up on outstanding documents or information to keep orders moving and meet customer deadlines.
- Organize, prepare, scan, and maintain documents and electronic records.
- Follow established processes and quality standards while identifying opportunities to make our work more efficient.
- Prepare routine weekly and monthly reports.
- Prioritize multiple requests and deadlines to meet customer expectations and service-level commitments.
- Partner with teammates and other groups to research and resolve issues.
What You'll Bring
- High school diploma or equivalent.
- 1–3 years of experience in customer service, administrative support, banking, insurance, document processing, operations, records management, or a related environment.
- Strong attention to detail and organizational skills.
- Good written and verbal communication skills.
- A customer-focused approach and the ability to build effective working relationships.
- Confidence using computers and learning new systems; proficiency with Microsoft Office products.
- Ability to research information, identify discrepancies, and solve problems.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Basic math skills.
- Ability to follow and interpret written procedures and instructions.
- Ability to work both independently and collaboratively as part of a team.
- May occasionally need to lift and carry up to 15 pounds.
